Another day, another data loss

Data-usb-drive-on-cd This time West Berkshire Council has managed to lose an unencrypted memory stick containing sensitive information on children and young people.

As reported by Public Service:

The memory stick, which was neither encrypted or password protected, contained information relating to the ethnicity and physical or mental health of the children.

West Berkshire introduced encrypted memory sticks in 2006. But following an investigation by the Information Commissioner's Office (ICO), it was also discovered that council employees were still using unencrypted memory sticks.

Nick Carter, West Berkshire's chief executive, has now signed a formal undertaking to ensure the appropriate devices are encrypted and that all staff are trained appropriately.

Bit late now ain't it Nick? More to the point – what were your staff doing walking around outside of the council with this data?

After this caseand this incident…of private information being lost or misused in the past few weeks, it is about time that the public sector woke up to their horrendous record of data loss.

More to the point, WHY IS THIS ON A MEMORY STICK?!
Data like this should be kept on a secured server attached to the council’s network. It shouldn’t be on portable devices in the first place!
Holding data in a proper, secured client/server database means you can have an audit trail, and you can provide remote access for employees (or contractors) who need to work from home or from outside the council offices *without* putting data onto removable media, and without any risk of accidental loss or theft.

Exactly – if a council worker “absolutely has to” work from home then they should VPN in to the council’s server, and no info stored locally, all files on central storage resource.

Looks like it is back to basics…learning to ‘remember’ at all levels in this workplace. How many more training sessions do people need to remember fundamental procedures to secure vital information…or do we just don’t care?
